BPTW is looking for a highly organised and proactive administrator to support the smooth running of their architectural and urban design studio.

Your Role

This is a highly valued, varied and sociable role within our practice. It provides dedicated support to both the HR function and front of house, but also interacts with all other teams. You will be provided with a good overview of the practice and how it works, whilst also playing a part in maintaining our overall efficiency and agility.

Working closely with the HR Manager, you will be supporting the day to day running of the practice’s HR function. You will take ownership of some recruitment related processes, including candidate liaison, interview coordination and the issuing of feedback and employment offers. You will use your diligence to ensure that any staff changes are acknowledged and recorded, keeping our employee records up to date.

You will be part of a two-person administration team with shared responsibility for keeping our project and contacts information up to date, greeting visitors, coordinating meeting room requirements and technical set ups for our regular programme of events.

Given this role’s interaction across the practice, the nature of tasks and the people you interact with will vary from day to day. It’s a great position to be in to quickly learn about our practice, it’s people and processes.

What you will bring

With the project-based nature of our work, things move quickly and priorities can change day to day. You will need to be adaptable enough to change focus depending on the priority of the day, whilst not losing sight of other important day to day tasks.

You will be a confident communicator and comfortable with talking to people at all seniority levels. Able to use your initiative to progress with tasks, but also know when you need to ‘check in’.

Most aspects of this role will require the processing of sensitive or confidential information, and for that reason discretion and integrity is an absolute must, along with empathy, and an understanding of why following set standards and procedures is important.

Excellent writing and administrative skills are essential, and experience of working in a similar administrative role requiring a high level of coordination and interaction with others, would be very beneficial.

Skills, Knowledge and Experience

Essential:

  • Recent experience in a similar multi-faceted administrative role, working across multiple teams
  • An understanding of or experience in supporting HR, payroll and recruitment processes
  • Excellent coordination, organisational and time management skills
  • Proficiency in Microsoft Office (Teams, Word, Excel, Outlook, PowerPoint)
  • Strong written English and document formatting skills
  • High attention to detail and accuracy
  • Demonstrable experience handling confidential and sensitive information with professionalism and discretion
  • Understanding of data protection principles (e.g. GDPR)

Desirable:

  • Experience in architecture, construction, or professional services industries
  • An interest in BPTW’s work and the built environment
  • Exposure to bids, marketing, or document preparation is highly desirable
  • Experience of supporting the HR function, particularly in the coordination of interviews, onboarding and offboarding processes
  • Familiarity with CRM or document management systems is an advantage
  • Experience of carrying our reception and front of house duties

Salary

Dependent on experience, the salary for this position is expected to be between £29,000 and £31,000 pa.

This role will be based on-site, due to its front of house related duties. However, we would be open to discussing flexibility around working hours or part time hours (minimum 30 hours per week). Please clearly state any requirements you may have in your cover letter.
